You have no written instruction linking that account to the invoice, and your company holds USDT. Before your buyer promises to pay, you need an identified recipient, a written invoice instruction and an answer from a payment service about whether this method fits the purchase.

A QR code leaves the commercial instruction incomplete

The supplier needs to identify the account holder and receipt currency, then explain how they'll apply the payment to the tote-bag invoice. Your buyer should be able to compare the account name with the company on the contract. The buyer can then hand finance the instruction instead of passing on the salesperson's message.

You need to confirm that the recipient account is suitable for this commercial invoice even if the supplier requests Alipay or WeChat. Before funding, find out what starts the processing estimate and which event the service counts as completion. Your team needs the procedure for an unresolved or unsuccessful payment, including how to check whether the supplier-side transfer went out and what happens to unused funds.

Get the service's return terms before approving payment, including any deadline or reversal option they can confirm. Finance still needs an agreed return date beyond a support conversation. If a payment remains unresolved, your buyer should tell the supplier that finance is checking the first transfer while the service supplies the payment status and supporting evidence.

Sending a replacement before that answer can pay the same invoice twice. The colleague approving a second attempt needs a definite account of the first, rather than the absence of a receipt message.

Give finance the supplier's allocation

The supplier should confirm the amount credited to the tote-bag invoice and any balance due. Finance can connect that acknowledgement to the accepted instruction, quote and funding evidence. If the amounts differ, your buyer needs an explanation before the accountant closes the payable.
