Your supplier says annual purchases reached the rebate threshold. Its summary includes goods not yet accepted and excludes a return your team already agreed. Before treating the offer as money earned, bridge the written rebate terms to the actual eligible purchases and obtain a confirmed settlement amount.

Read the measure before adding orders

Locate the agreed rebate version and period. Does eligibility depend on orders accepted, goods shipped, goods accepted by the buyer or invoices paid? Those measures can produce different populations. Record the opening and closing cutoff, currency and treatment of late documents. Do not choose the measure that produces the largest rebate if the agreement uses another one.

Ask how returns, cancelled quantities, defect credits, freight and other charges affect qualifying purchases. An order can contribute only its eligible portion. Keep excluded lines visible with reasons, rather than deleting them from the reconciliation and losing the explanation.

Articles 1.3 and 4.1-4.4 of the UNIDROIT Principles 2016 provide general contract and interpretation context. The Principles are not automatically the law of every purchase. Counsel must assess applicability, wording and mandatory rules when the parties disagree about eligibility.

Separate the threshold from the payout formula

A threshold can determine eligibility without explaining how much is earned. Does crossing it apply a rate to all qualifying purchases, or only the portion inside a higher band? Are earlier bands calculated separately? Check the exact rule, including any cap and whether currencies are kept separate or converted by an agreed method.

In a purely fictional single-currency agreement, eligible purchases total 120,000 units of currency. The first 100,000 earn no rebate and the excess earns 2 percent. That marginal rule produces 400. An all-units rule at the same rate would produce 2,400. Neither rule is a market norm; the illustration shows why the words of the agreement matter. Do not aggregate different currencies or invent an exchange rate.

These fields are an editorial handover proposal, not an accounting ledger. Retain supporting documents and mark unresolved items separately. Ask the supplier to explain its differences line by line. A sales email announcing a target reached is not a substitute for a confirmed calculation.

Agree how the earned amount will be settled

If settlement is cash, agree the amount, currency, recipient and due date through the proper contract and payment checks. If it is a credit, identify the supplier document, eligible future invoices, application authority and what happens to an unused balance. Avoid placing an unnecessary order merely to consume it.

The defect-credit guide explains applying an agreed credit to another invoice. Here the origin is an annual commercial concession, not compensation for defective goods. Preserve that distinction even if both amounts eventually appear on the same statement.

Keep an unresolved eligibility dispute separate from undisputed amounts due. This article does not establish a right to deduct a claimed rebate from any invoice unilaterally. Counsel should review the payment consequences before instructions change.

Hand the evidence to the accountant

The IAS 2 overview describes inventory-cost accounting. It does not settle the classification or timing of your particular concession. Give the accountant the contract, confirmed calculation, affected purchases, stock position and settlement documents. The accountant must assess the current applicable standard and reporting framework, including goods already sold. No journal entry or local tax treatment is prescribed here.

Do not confuse a rebate with a temporary discount

The fair price-hold guide concerns keeping an offer open before a purchase decision. An annual rebate instead looks back at a defined eligible population under agreed terms. A new discount offer cannot quietly replace an earned amount unless the parties validly agree to that change.
