Give the accountant the purchase before the hash
The invoice identifies what your company owes. Your accountant needs the buyer's legal name, supplier and invoice reference, alongside the currency and amount due. For a deposit, tell the accountant which part of the purchase your team intended to settle.

Find out what confirms supplier receipt
Before funding, ask which supplier-payment records the service can provide and how your team can obtain them. The service should explain what your team can confirm from each record. Your accountant needs to understand whether a reference covers a payment instruction, a transfer or a receipt.

Hand over the unresolved part as well
The handoff note can start with the invoice number and balance due. Name the colleague chasing a missing receipt or allocation and include their request. The accountant can work with the available records without mistaking the file for a completed settlement.
