The supplier's invoice lists an English company name. Its bank instruction includes Chinese text, a bank code and a branch name your payment form cannot fit. This is not a good moment to shorten names by instinct or copy a code from a search result. Build one verified instruction for the actual payment route.

Keep the supplier's original file beside the invoice. Compare fields without editing the source document. If a field is missing or ambiguous, ask the supplier and the bank or payment provider to resolve it before approval.

Read the beneficiary name in both scripts

Ask for the registered Chinese company name and the Latin-script beneficiary name required for this account and route. Compare the company identity with the contract and invoice. Do not create your own translation and submit it as a bank-confirmed account name.

For illustration only, a purchase file might say “Example Workshop Trading Co., Ltd.” beside “示例工坊贸易有限公司.” These invented labels do not prove that the names refer to a registered company or bank account. In a real file, retain the seller's records establishing that connection and ask the provider how to enter the required name.

A transliteration difference needs clarification. A different legal entity needs a different explanation, including authority to collect and confirmation of invoice credit. Separate the account from the bank

Identify the beneficiary account number, beneficiary address where requested, receiving bank name and branch. Confirm the account's intended receipt currency with the supplier and the provider. Do not assume that every account at the same bank can receive the same payment.

Bank of China's corporate inward-remittance description describes payment to a designated beneficiary following instructions from the remitting bank. That is why your instruction must identify the recipient, rather than merely the banking group. It is not a promise that another bank or this particular account will accept your transfer.

Understand what SWIFT identifies

A BIC is an identifier, not the supplier's account number. Swift's BIC explanation describes the identifier's structure and notes that not every BIC is connected to its messaging network. Finding a plausible code online does not establish the correct receiving instruction for your invoice.

Ask the supplier for bank-issued or bank-confirmed receiving details and have your provider check the bank and branch fields for the chosen route. If an intermediary bank is listed, keep its role separate from the beneficiary bank. Do not move identifiers between fields just to make a form accept them.

Ask whether CNAPS is needed for this route

CNAPS and SWIFT fields are not interchangeable. A Bank of China Macau corporate banking guide instructs users to obtain the accurate CNAPS number from the beneficiary or its bank for the mainland RMB route it describes. It also warns that incorrect numbers can lead to a returned remittance.

Treat that as route-specific guidance, not a claim that every China-bound payment requires the same field. Ask your bank or provider whether CNAPS is needed and obtain the appropriate branch identifier through confirmed channels. Do not derive it from the account number or substitute a head-office code without confirmation.

Write the purpose from the real purchase

Give the provider the invoice reference, goods description and payment stage. Ask how those details belong in its reference and purpose fields. A truthful instruction might describe a deposit against the identified goods invoice; it should not disguise the purchase as a personal transfer.

Keep supporting documents consistent with that description. If the seller wants a different reference, ask why and resolve any contradiction before sending. A payment form's character limit is a formatting question for the provider, not permission to change the commercial purpose.

Approve the exact reviewed instruction
