A supplier sends a USD quotation, then offers a CNY invoice for the same goods. The buyer's treasury team has another funding currency. A lower-looking invoice total tells them little until they know the exchange rate, the conversion point and the amount the supplier will treat as payment. Start with that receipt, then work back to funding.

Choose the invoice currency with the supplier
Ask whether the seller is offering two alternative prices or converting one agreed price into another currency. Obtain the chosen invoice in writing, including its currency, validity and payment schedule. Do not approve both versions as separate liabilities for the same order.
Check whether the receiving account can accept the invoiced currency and what happens if it receives a different one. A bank's international-transfer page illustrates that an incoming foreign-currency transfer may be converted into the account currency at the rate applicable on receipt. This is a bank-specific example, not a rule for every Chinese supplier account. Ask the supplier's bank about its own handling.
Identify every conversion leg
Write down the buyer's funding asset or currency, the transfer currency and the supplier's accepted receipt currency. Where these differ, ask who performs each exchange and when the rate becomes fixed. A USD invoice funded with stablecoins and paid out in CNY still needs the supplier's agreement on how that CNY credit settles the USD obligation.
Banks can offer transfers involving currency exchange, as described in a bank transfer FAQ. That does not establish the rate or spread for your proposed business payment. Request a current quote and the applicable terms rather than using a public reference rate as the executable price.
Compare quotes against the same receipt
Ask for quotes that deliver the same agreed supplier credit. Record the total funding required, conversion rate, rate direction, service fee, bank-charge treatment and expiry. A quote expressed as CNY per USD cannot be compared directly with one expressed as USD per CNY without checking the direction.
The quote-reading guide helps distinguish the quoted funding amount from the payout. If treasury compares a direct bank transfer with another funding route, include the separate cost of acquiring the funding asset where applicable. Do not compare only the most attractive exchange-rate line.
Decide who absorbs a rate change
Agree whether the invoice amount remains fixed in its stated currency or whether the parties have a documented conversion mechanism. If a quote expires before funding, obtain a fresh quote and approval. Do not send the old funding amount and assume the provider or supplier will absorb the difference.
For deposits and balances, retain the currency and amount credited at each stage. If the seller changes invoice currency between instalments, reconcile the deposit against the revised invoice in writing. Check the final instruction together
Purchasing confirms the invoice and supplier's settlement agreement. Finance confirms the funding amount and quote validity. The payment approver checks beneficiary details, receiving currency and charge allocation. If any of those records conflict, resolve the conflict before releasing funds.

Close the invoice using actual credit
After payment, obtain the supplier's receipt acknowledgement and invoice allocation. Retain the accepted quote, funding evidence and bank-payment record separately. If the credited amount differs, investigate the conversion and charges before approving a top-up.
